Audiovisual Services Duplication Policy

 
 

CHARGES FOR DUPLICATION SERVICES

 
AVS does not accept cash, checks or paper Transfer of Funds forms.
 
Departments or individual faculty members may use a department charge card (not your dining/library card), linked to a proper account line, in order to pay for duplication services. Bring this card with you each time you come to the AVS office to pick up a completed project, or you may leave the card on file in the AV office. If you do not have a card, request one by sending e-mail to Dannelle Parker (dparker) in the office of Campus Services. Provide her with the account number you want to use, and tell her whether to send the card to you or directly to the AVS office.
 
An alternate way for departments to pay is by doing a GL Transfer. Anyone who has online access to their individual or department budget records may do this. Go to the sign-in page at https://my.hamilton.edu/applications/budget/transfer.cfm?type=glje. Log in as you would for normal budget access, with your e-mail user id and password. Enter your account number, then the amount and the AV account number that Marilyn Huntley will provide.

Students must have money in their All Campus Account for a debit transaction.
 

BILLING POLICIES

 
  • For a new academic event that AVS is recording for you, up to 2 copies will be provided to the original requesting department at no charge. Any copies above and beyond these 2 copies will be charged at the rates below.
  • The first copy of a student's senior project will be given at no charge. All other requests will be charged at the rates below. 
  • For media which must be shipped a minimum $5.00 shipping and handling fee will be added.

Example: for an order of 14 DVDs, copies 1 through 5 will cost $20.00, copies 6 through 10 will cost $15.00, copies 11 through 14 will cost $8.00; total order will cost $43.00.
 

MASTERING, EDITING, AND TURNAROUND TIME

 
  • Duplication (a straight copy made by AVS with no editing work involved) 1-10 copies take 2-3 working days. 10-50 copies 3-5 working days. 50+ copies 5-10 working days.
  • Mastering footage (anything that must be edited to another format) 5-7 working days.
  • Major projects (dance performances, theater production, multiple camera events) requiring editing work will take 3 to 4 weeks to complete.
 

PLEASE NOTE

 
  • No media carrying a Copyright will be duplicated by AVS.
  • AVS no longer provides duplication service for personal work.
  • To purchase blank media, go to the College Store or Staples, etc.
