Sponsored Accounts

A “sponsored account” refers to a Hamilton College account that is created and managed by another Hamilton College employee, known as the “sponsor.”

It is a concept used to structure and manage other accounts within Hamilton College that fall outside of the standard account affiliations, often for security, billing, and other organizational purposes. Sponsored accounts can implement better isolation and access control for different parts of Hamilton’s infrastructure and services.

The sponsor is responsible for the creation and management of any sponsored accounts they have requested. The sponsor has privileges over sponsored accounts assigned to their Hamilton College identity, allowing centralized management and oversight. 

Sponsored Accounts have a maximum lifecycle of one year. Sponsored Accounts can be renewed annually by the Sponsor.

  1. Visit our Rapid Identity Portal.
  2. Select Requests from the top dropdown menu
  3. Select Catalog from the left sidebar menu
  4. Choose the type of Sponsored Account you want to request. Click Request at the bottom of the screen.
    • Hamilton - Named

    • Hamilton - UnNamed

    • Non Hamilton - Named

    • Student Org (Restricted to the Student Activities Department)

  5. Complete the required fields in the form. Enter a valid Hamilton College employee as the Sponsor of the account. Click Request

    • Note for Non Hamilton - Named: Enter a three character abbreviation for the company, followed by the whole company name. (Ex: VND Vendor Services)

    • Note for Hamilton - UnNamed: Enter the desired username for the unnamed account. This name should be appropriate for College use. (Ex: philosophy).

    • The LITS Identity and Access Team will receive the request. If there are any errors or questions, the Identity and Access Team will contact the sponsor to resolve any errors or questions. The Identity and Access Team will then approve the request. An account claim email will be generated, and distributed to the correct person depending on the type of sponsored account requested.

    • Hamilton - Named: Account Claim email will be sent to the personal email of the person the account was requested for

    • Hamilton - UnNamed: Will be sent to the Sponsor of the account, or the email address of the Student ID entered.

    • Non Hamilton - Named: Account claim email will be sent to the personal email of the third party or contractor (non Hamilton) person the account was requested for

Once approved, the sponsored account will be listed under the People > My Sponsored Accounts screen.
 

Account expiration refers to disabling a sponsored account when it is no longer needed.

  1. Log in to Rapid Identity Portal
  2. Select People from the top drop down menu.
  3. Select My Sponsored Accounts from the left sidebar.
  4. Click the submenu kebab and select Expire.
  5. Click Expire to confirm the action.
  6. Click Close at the confirmation page.

Account certification refers to extending the life cycle of an account, or renewing it for additional time. An account can ONLY be certified up to one year from the current date.

  1. Log in to Rapid Identity Portal
  2. Select People from the top drop down menu.
  3. Select My Sponsored Accounts from the left sidebar.
  4. .Click the submenu kebab and select Certify
  5. Set a new expiration date in the expiration date text book, and click Certify. An account cannot be certified beyond one calendar year from the current date. Only extend the account for the minimal length of time needed.
  6. Click Close at the confirmation page.

Sponsors are responsible for:

  • Requesting creation of sponsored account (must have required information when completing Rapid Identity Request workflow).
  • Approving renewals of any sponsored accounts assigned to them
  • Disabling any sponsored accounts that are no longer needed
  • Not sharing any passwords for any sponsored accounts

  1. Hamilton - Named
    • Accounts that will be assigned to a Hamilton College individual (ex: part-time instructor that is not a Hamilton College employee).
  2. Hamilton - UnNamed
    • Accounts for use by a Hamilton College department or person for a College need (ex: admissions@hamilton.edu, invoice@hamilton.edu, other student worker accounts).
  3. Hamilton - Student Org
    • Student Organization accounts that are approved by Student Activities. These accounts will be sponsored by Student Activities, and will have a Student Org President assigned. The Student Org President is responsible for updating the Student Org President in Presence. The Student Org President is not allowed to share the Student Org password.
  4. Non-Hamilton - Named
    • Accounts that will be assigned to Non-Hamilton College individuals (ex: third party vendor account).
  5. Non-Hamilton - UnNamed
    • Accounts that will be assigned to Non-Hamilton College partners and contractors but are not assigned to an individual person (ex: parkhurst, siemens).
