Data Governance Subcommittee (DGS)

Ensuring data conform to quality and standards upon entry and throughout use in operations and analysis; includes a decision framework around what data should be collected and protected. This group comprises representatives from all of the functional areas of Hamilton College who are deeply invested in ensuring the integrity and security of college data. Their responsibilities include reviewing and refining definitions within the existing data catalog, as well as identifying and implementing solutions to address any issues related to data stewardship.   • Achieve consistency in collecting and reporting data across various areas and source systems.
  • Achieve high quality data in the collection, analysis and reporting.
  • Respond in a timely manner to data issues that are escalated to the DGS.

  • Resolve issues escalated from the Data Stewards Workgroups.
  • Data requests are brought to the appropriate data steward for approval. 
    • If any data is being sent to an external vendor, the request should also be referred to the Information Security Officer.
      • If someone is unsure who the appropriate steward is, bring it to the Director of Business Intelligence in LITS and they will route the request to the right person.
  • If the data steward thinks it involves multiple areas of the college, or it warrants DGS discussion, it should be sent to the Chair of DGS to be included for the next meeting. If not, the data steward can approve it.
    • NOTE: Some data requests will come through vendor assessments and integration requests and go directly to DGS.
  • At DGS, there is a discussion about the request. If DGS comes to agreement, it can be approved at that stage.
  • If there is disagreement among data stewards, or the request is going to be denied, the Chair of DGS will contact the VP of LITS to discuss the issue.
  • The VP of LITS will decide the appropriate action, which may be an EIC discussion or a Senior Staff discussion.
  • The Chair will communicate the final decision back to DGS.
